The customer service chatbot flows that work are narrow and honest: order or booking status, appointment changes, answers to frequent questions, return requests and a triage for complaints that hands off to a person. Each has one goal, asks few questions and always offers a human.
1. Order or booking status
Goal: answer "Where is my order or booking?" without a call.
Flow: ask for the reference and phone or email, look it up, show the status and the next step, offer a person if something looks wrong. Design note: do not reveal details without verifying the person.
2. Appointment changes
Goal: reschedule or cancel.
Flow: identify the booking, offer available slots, confirm and send a message. Design note: show the cancellation rules clearly.
3. Frequent questions
Goal: answer the top ten questions from your own content.
Flow: understand the question, answer from approved content, link to the source, ask if it helped and hand off if not. Design note: if the answer is not in your content, say so rather than guess. See chatbot guardrails.
4. Return or refund requests
Goal: collect the details a person needs.
Flow: ask for the order, reason and photos if needed, explain the policy, create a ticket and say what happens next. Design note: keep refund decisions with people.
5. Complaint triage
Goal: calm and route.
Flow: acknowledge, ask what happened, capture details and hand off quickly to a person with a summary. Design note: detect frustration and escalate early.
Rules for all five
- One goal per flow.
- Short messages, one question at a time.
- A visible way to reach a person, with honest hours.
- Pass the conversation summary to the agent.
- Review real conversations every week.
