Choose a CRM by starting from your sales process, not from a feature list. A small business needs a CRM that captures every lead, gives each one an owner and a next step, and shows what is working. Pick the simplest tool your team will actually use, and consider a custom CRM only when your process has steps no tool supports.
What a CRM is for
CRM stands for customer relationship management. In practice, it is the place where every enquiry, customer and conversation lives, so nothing depends on one person's memory, phone or spreadsheet.
The features that matter for a small business
| Feature | Why it matters |
|---|---|
| Lead capture | Web forms, WhatsApp and chatbot enquiries land in one place with their source |
| Pipeline and status | New, contacted, quoted, won, lost, so you see where each deal stands |
| Assignment and reminders | Every lead has an owner and a next step |
| Quotes and documents | Create and track quotes without retyping |
| Email and WhatsApp | Messages logged against the right customer |
| Payments | Track what has been paid |
| Reports | Leads, conversions and revenue by source |
| Mobile access | Your team works on the move |
| Easy to use | If people avoid it, it does not work |
Questions to ask before you buy
- Does it fit how we sell, or must we change our process?
- What will it cost with ten users and with fifty?
- Can we import our existing data, and export it later?
- Does it work with WhatsApp, email and payment tools we use?
- How good is support in India, and in our timezone?
- Who will own the setup and keep the data clean?
Cost to compare
Most CRMs charge per user per month, with higher tiers for automation and reports. Compare the total over two or three years, including add-ons, setup and training. Prices change, so check current plans.
Ready-made or custom?
Ready-made CRMs work for many small businesses. A custom CRM makes sense when your process includes steps they do not handle, such as converting requirements into a branded quote or itinerary, sending partner emails automatically, or parsing supplier documents. We built the Trripah CRM this way. Read custom CRM vs off-the-shelf, see our CRM development service, and our project.
A short plan to start
- Map your process from enquiry to payment.
- Decide the stages and who owns each.
- Pick a tool, or scope a custom build.
- Import data, train the team and set reminders.
- Review leads and sources weekly.
